2018 Updates to Online Registration (MSR)

Better late than never. I’m going to be posting a list of updates to MotosportReg online registration as the year progresses. This will hopefully highlight the how and why behind the changes to MSR. Eventually I will also be positing a video of how to register and the options.

The main reason we are now using MSR for Sunday check-in instead of using our timing system is to automatically track changes, payments, and registrations. This allows the club to easily take both credit cards and cash while having a total to balance against. Before, this was a laborious and cumbersome process that required additional steps by registration for every person. Now it is automatic and reduces the workload for our registration volunteers, while giving us additional data to better serve our members.

January 2018

-Merged practice and weekend events because people that were buying a weekend membership for Saturday were also being required to buy a weekend membership for Sunday. Weekend Memberships cost the region money, so in order to allow refunds for people who do not attend Sunday we process them after the event. * Merged events also allow the treasurer to see in one report exactly how many unique drivers attended so they can file our scca sanction audit in a timely manner with 100% accuracy.

-Placed individual packages under groups to create a cleaner look. Now only when you click on a package does the information pop-up.

-Co-Driver practice package added. This was added because this requires co-drivers to register formally with MSR, which automatically checks SCCA member roles, which forces a co-driver to purchase a weekend membership if they don’t have one, automatically. In addition to collects emergency contact information for that co-driver.

-Added Walk-up Registration packages. Now if someone wants to walk up to register they could use their phone to do so, saving them time when checking in. Pre-Reg packages automatically hide and Walk-Up packages become present.

-X Runs added for Registration officials to add during registration in the morning.

-Added X-Run Class to be selected with appropriate pax modifier.

-Placed individual Packages under the Sunday registration to better track which packages we are selling. (Adult, Student Jr)

One of the talks during the SCCA convention was from MSR and how to get the most from their system as well as giving feedback to them to continue to develop their product to meet our needs. One of the things discussed was how many people they send event information emails to. So, like we have already done for our sanctions to get our events listed in the back of SportsCar magazine , I have added just some basic calendar events to our motorsportreg listings. These will be replaced by full events as we move from month to month.

-Added "Calendar" events to our page

Feb MSR Changes (for March event)
-Updated Practice “Assignments” to more accurately reflect their participation. (Practice-Entry, Practice- Co-Driver, Practice Jr-Kart, Split-Practice Entry)

-Added “Choose preferred work position” so people can select what they would prefer to do and indicate if they have any medical constraints. This also allows the worker chief to define ahead of time who is doing the worker positions. (This will be forced to course worker for walk-ups)

-Changed available choices for those selecting Co-Drivers by allowing them to choose only from those registered in the split-practice segment. This prevents people from registering a single practice and using a co-driver.

-Added Custom report for exporting a practice registration list for practice check-in.

-Added Custom report to email segments of people separately (Practice attendees vs Champ attendees)

-Added separate waitlist packages. This allows people to immediately see their confirmed Sunday entry even if they are on the practice waitlist. (Made video on how to move an entry from the waitlist to the practice.)

-Changed Waitlisted Options to $0. This was so the registrar doesn’t have to delete the practice waitlist people before charging the practice people.

-Added es and sts to list of classes that force “None” as a pax modifier

Thanks for all your hard work Anthony, I know what programming in MSR is like. Lots of power, but getting it to do what we want can be tricky sometimes.

-Added Minor Wavier information on each JR Kart entry w/ links to forms

*Its not mandatory yet to say they have read it, but it can. At least its mentioned.

-- Removed additional rule preventing Sunday Late reg for Students

--Added new package. Sunday Adult pre-reg with 4 Extra Runs for $60
This is the normal PreReg and additional x-run price. It makes 2 different assignments and packages, they only thing it doesn't do is add a number for X-runs. I believe with our registration team now checking all entries, they will be able to add their number plus X for the assignment.

- Added check box requiring acknowledgement of accepted forms of payment.
- Wording changed from practice to "Test n Tune"
- Sunday placed before Saturday
-Added calendar events for 2019
